FishGoo: Documenting QC Photos in the Spreadsheet
A Standardized Process to Save Every Inspection Photo and Date for Quality Verification Before Shipment.
Consistent documentation of Quality Control (QC) photos is essential for maintaining transparency and verifying product quality. This guide outlines the standard procedure for logging all inspection visuals directly into the FishGoo tracking spreadsheet, creating a reliable audit trail before any shipment leaves the factory.
Step-by-Step Procedure
-
Capture Comprehensive Photos
During the inspection, take clear, well-lit photos for each product SKU/variant. Essential shots include:
- Overall Shot:
- Workmanship Details:
- Label & Packaging:
- Defects (if any):
-
Organize & Name Photos Systematically
Immediately transfer photos to your computer. Rename files using this format:
[PO#]_[SKU]_[Description]_[DateYYYYMMDD]_[Sequence].jpg
Example: PO12345_ABC-WhiteT-Shirt_Overall_20231027_01.jpg -
Upload to Designated Cloud Storage
Upload the entire folder of renamed photos to the shared cloud drive (e.g., Google Drive, Dropbox) linked to the specific project. Ensure the folder is named after the Purchase Order number.
-
Log Entries in the FishGoo Spreadsheet
Open the master FishGoo QC Tracking Spreadsheet. Locate the row for the corresponding PO/SKU. Fill in the following columns:
Spreadsheet Column What to Enter QC Photo Date The date inspection photos were taken (YYYY-MM-DD). QC Photo Link The direct, shareable link to the photo folder uploaded in Step 3. QC Inspector Initials Your initials or the inspector's name for accountability. QC Status Mark as "Pass," "Fail," or "Pending Review." Photo Summary Notes Briefly note key findings, e.g., "No defects found in samples," "See photo #05 for color variance." -
Verify & Lock the Record
Double-check that all links are functional and the date is correct. Once verified, mark the row as "QC Completed." This indicates the visual documentation is ready for final review prior to shipment authorization.
Best Practices & Tips
Consistency is Key
Use the same naming convention and process for every order to make historical data searches effortless.
Link Directly
Ensure photo links are set to "Anyone with the link can view" to prevent access issues for team members and clients.
Date Accuracy
The photo date must match the actual inspection day. This is critical for resolving any future quality disputes.
Complete the Loop
Never mark an item as ready for shipment in the spreadsheet unless the QC photo entry is fully populated and reviewed.
